This article will cover how to upload inventory into PhoneX with a spreadsheet upload if you manually sync your ERP with PhoneX using spreadsheet uploads.
If you don't have another system and instead use PhoneX as your system of record, here is the correct article to visit: How to Add and Update Inventory if PhoneX is Your System of Record.
1. First, head to your Inventory page.
Here, you can add new SKUs and update on-hand amounts using the Inventory Import.
When you import new inventory, you will upload your entire list of inventory every time. The system will do the math and show you the differences between the previous item quantities in PhoneX and your updated quantities with the new inventory import.

2. Click Import in the top right to get the inventory template, or click Export to download and update your current inventory.
3. You may get a warning when you click Import.
Because you have an external ERP that you are keeping in sync with PhoneX using spreadsheet uploads, you may get a warning about order transmission statuses when you're uploading new inventory.
This warning is telling you to make sure you've marked "Transmitted" on the orders you've sent to your ERP before you upload new inventory. The popup will show you how many orders remain in untransmitted status.
When you tell the system that you have transmitted orders to your ERP, PhoneX will no longer hold back that inventory. This makes sure your inventory counts are correct when you upload new inventory.
If you need to mark orders as Transmitted:
- Download the spreadsheet in the warning pop up.
- Mark the orders as transmitted in the spreadsheet.
- Re-import the file in the popup.
- Proceed to upload your inventory.
If you don't need to mark the orders as transmitted, you can ignore the warning and click Continue to upload your inventory.
4. Fill out the spreadsheet.
- To add a new SKU, add a row with Item #.
- Use the dropdown for Warehouse to select a warehouse code that matches the code you configured for your account. Doing this ensures that you won't get an import error.
- For each item, fill out the quantity you have on hand and the cost (only if you need to update cost).
- Fill out the Reference Description field to help you add Item Attributes after you upload inventory.
5. Once your spreadsheet is ready, click Import to upload your inventory to PhoneX.
Upload or drag and drop your file.
